The Manual Cost Formula

Take any recurring process. Multiply three numbers:

Time per occurrence. How many minutes does it take each time? Include the setup, the task itself, and any follow-up.

Frequency. How many times per week or month does this happen?

Hourly rate. What does the person doing it cost you per hour? Include salary, benefits, and overhead. For most businesses, actual cost is 1.3 to 1.5 times the salary.

Example: A report takes 45 minutes, happens daily, and the person costs $40 per hour. That is $600 per month on one report.

The Automation Cost Formula

Build cost. How many hours to design and build the automation? This is a one-time cost.

Maintenance cost. How many hours per month to monitor and update it? Usually 1 to 2 hours.

Tool cost. Monthly subscription fees for the automation tools.

Example: 20 hours to build at $100 per hour ($2,000), 2 hours per month to maintain ($200), and $50 per month in tools.

The Payback Math

Month one: automation costs $2,250 (build plus maintenance plus tools). Manual costs $600.

Month two: automation costs $250. Manual costs $600.

By month four, automation has paid for itself. Every month after that is pure savings.
