Every AI vendor claims to transform your business. Most deliver a feature wrapped in a subscription. These questions separate the real from the noise.
Question 1: What Problem Does This Solve That I Cannot Solve Cheaper?
If a $200/month AI tool saves you 2 hours of work that costs $30/hour, the math is marginal. If it saves you 20 hours, the math is obvious.
Be specific. "It makes us more efficient" is not an answer. "It reduces report generation from 3 hours to 15 minutes daily" is.
Question 2: Does It Have an API?
A tool without an API is a data island. Your data goes in but cannot come out programmatically. That means no integration, no automation, and no connection to the rest of your operation.
No API = no deal. Non-negotiable.
Question 3: What Happens to My Data If I Leave?
Can you export your data? In what format? How long do they retain it after you cancel? If the vendor locks your data behind their platform, you are not a customer. You are a hostage.
Question 4: What Is the Learning Curve?
A tool that takes three months to implement eats into your time-to-value. A tool your team can use in a week starts paying off immediately.
Ask for realistic onboarding timelines, not best-case scenarios.
Question 5: Does This Replace a Workflow or Just Add a Step?
The best AI tools eliminate manual steps. The worst ones add a new step to your process. "Now you have to check this dashboard too" is not a solution. It is a burden.
If the tool requires your team to change their workflow significantly, adoption will be slow and resistance will be high.

- Demos that only show best-case scenarios
- No clear pricing (custom quotes for everything)
- Vague claims about "AI-powered" without specifics
- No case studies from businesses like yours
- Long contracts with no monthly option
The Green Flags
- Clear documentation and API access
- Free trial with real data (not sample data)
- Transparent pricing
- Specific, measurable claims
- Month-to-month availability
