I have seen businesses connect a new tool on Monday and spend the rest of the week cleaning up the data it corrupted. Ten minutes with this checklist would have prevented all of it.
The 10-Point Integration Checklist
One: Data format compatibility. Does the new tool accept and produce data in the formats your existing systems use? If not, who builds the translation layer?
Two: Authentication method. How does the tool authenticate? API key, OAuth, webhook signature? Does it match your security standards?
Three: Rate limits. How many requests per minute does the tool allow? Does your operation stay under that limit at peak volume?
Four: Error handling. What does the tool return when something fails? Does it give you enough information to diagnose and retry?
Five: Data ownership. Who owns the data you send to this tool? Can you export it? Can the vendor use it for training?
Six: Latency. How fast does the tool respond? If your operation needs sub-second responses and the tool takes three seconds, it will not work regardless of quality.
Seven: Versioning. How does the tool handle updates? Will an API change break your integration without warning?
Eight: Monitoring. Can you track the tool's performance from your side? Do you have visibility into failures, latency, and usage?
Nine: Fallback. If this tool goes down, what happens to the operations that depend on it? Do you have an alternative?
Ten: Cost at scale. What does this tool cost at your current volume? At 10x your current volume? Some tools are cheap at low volume and expensive at scale.
How to Use the Checklist
Score each item as green (good to go), yellow (acceptable with workaround), or red (deal breaker). Three or more reds means the integration is not ready. Fix the reds or find a different tool.
Keep the completed checklist in your documentation. When something breaks six months later, you will know exactly what to check first.
After the Checklist
Passing the checklist does not mean the integration is complete. It means the integration is safe to build. The checklist is a pre-flight check, not a certification of success.
After connecting the tool, monitor the first 30 days closely. Track error rates, latency, and data quality. The integration checklist for ai tools catches the obvious problems. The first month of production catches the subtle ones that only appear with real data at real volume.
