Structure Matters
A pile of documents is not a knowledge base. It is a filing cabinet that AI has to dig through.
Organize by topic with clear file names. Use consistent formatting. Keep files focused. One file per client, one file per process, one file per topic. Better to have 50 small, clear files than 5 massive ones.
Use headers and sections within each file. AI processes structured information better than walls of text. The same information is more useful when it is organized.
Keep It Current
A knowledge base that is six months out of date is worse than no knowledge base at all. It produces confident wrong answers.
Update the knowledge base as part of your workflow, not as a separate task. When a client's campaign strategy changes, update their file right then. When a process improves, update the documentation immediately. When a decision is made, log it.
If updating feels like extra work, you have not integrated it into your process. It should be as natural as saving a file after editing it.

Keep individual files under 250 lines. If a file is longer, split it. AI handles multiple short files better than one enormous one. And a longer file that gets read completely is more useful than a shorter file that points to references that get skipped.
