Creating an Automated Onboarding Sequence

An automated onboarding sequence means every new client gets the same professional experience regardless of how busy your team is. No forgotten welcome emails. No delayed access setup. No awkward silence between signing and the first meeting.

Onboarding sets the tone for the entire relationship. Mess it up and you spend months recovering trust.

The Trigger

Everything starts when the deal closes. A signed contract, a completed payment, or a CRM status change triggers the sequence.

The trigger should be automatic. If a human has to remember to start the onboarding process, it will eventually get forgotten. Connect your contract or payment system to your automation platform. Deal closed? Sequence starts.

The First 24 Hours

Within one hour of signing: welcome email. This email includes a genuine welcome, a summary of what they bought, and what happens next. Set expectations clearly. "Over the next 48 hours, you will receive access credentials, a link to schedule your kickoff call, and a brief questionnaire."

Within 4 hours: access provisioning. Create their accounts, set up their project space, generate credentials. If this requires manual steps, automate the notification to whoever handles it.

Within 24 hours: the questionnaire. Ask for the information you need to start working. Logins, brand assets, target audience details, goals. Make it easy. Pre-fill what you already know from the sales process.

The First Week

Day 2: kickoff scheduling. Send a calendar link with your available times. Include an agenda so they know the call has a purpose.

Day 3: a resource email. Send them anything useful while they wait for the kickoff. A getting-started guide. A FAQ. A video walkthrough. This reduces "what do I do now?" anxiety.

Day 5: a check-in. "We have everything we need to get started. Your kickoff is scheduled for [date]. Any questions before then?" This simple message shows you are organized and attentive.

After Kickoff

The automated sequence transitions into your operational workflow. But there are a few more touchpoints worth automating.

Week 2: "How is everything going so far?" check-in. Week 4: first results share. Month 3: relationship health check.

Quality Control

Run through your own automated onboarding sequence as a test client. Every email, every link, every form. Check the timing, the tone, and the content. Fix anything that feels robotic or incomplete.

An automated onboarding sequence is not about removing the human element. It is about making sure the human element never gets skipped because someone was busy.
