Automated review response setup solves the problem of reviews piling up unanswered. Every review gets a thoughtful, timely response without someone spending hours writing them.

Unanswered reviews tell potential customers you do not care. That is worse than a negative review with a good response.

The Response Framework

Different review types need different responses. Build templates for each.

Five-star reviews: thank the customer, reference something specific they mentioned, invite them to return or refer.

Three to four-star reviews: thank them, acknowledge the specific feedback, mention what you are doing to improve, invite them to try again.

One to two-star reviews: apologize for the experience, do not make excuses, offer to make it right, provide a direct contact for resolution.

AI Drafting

AI reads the review and drafts a response following the appropriate template. But not a generic template. A personalized response that references the specific details the customer mentioned.

"Thank you, Sarah. We are glad the team made your first visit comfortable. Your hygienist Maria will be happy to hear you appreciated her patience." That is specific. It shows the review was actually read.

AI generates this by extracting details from the review (name, specific compliments or complaints, staff mentioned) and weaving them into the template.

The Approval Workflow

AI drafts. A human approves. This is non-negotiable for public-facing responses.

Drafts go into a review queue. The manager scans each one, edits if needed, and approves. What took 30 minutes of writing per review now takes 2 minutes of reviewing.

For positive reviews, approval can be batch-processed. For negative reviews, always read carefully and personalize.

Response Timing

Speed matters. Responding within 24 hours to negative reviews shows you care. Responding within a week to positive reviews maintains the relationship.

The automation triggers the moment a new review appears. By the time the manager opens the queue, the draft is already waiting.

Monitoring Results

Track response rate (percentage of reviews answered), response time (hours from review to response), and sentiment of follow-up reviews from the same customers.

A customer who left a 2-star review and gets a great response sometimes updates to 4 stars. That recovery only happens when the response is fast, specific, and genuine.
