Setting Up Automated Contract Management

The AI Systems Guy
tl;dr
Contract creation, tracking, renewal reminders, and compliance. Managed automatically.
Automated contract management setup prevents the three most common contract problems: missed renewals, unsigned agreements, and lost documents. The system tracks every contract from creation to completion.
Contracts are the foundation of business relationships. Managing them in email threads and shared folders is a liability.
Central Contract Repository
Every contract lives in one place. Searchable by client, date, type, status, and key terms.
When a new contract is created, it enters the repository with metadata: parties involved, start date, end date, value, auto-renewal terms, and key obligations.
No more hunting through emails or asking "do we have a signed copy of that?"
Automated Renewal Tracking
Contracts expire. The system knows when.
90 days before expiration: alert the account manager to begin renewal conversations. 60 days: escalate if no renewal discussion has started. 30 days: flag as critical if still unsigned.
For auto-renewal contracts, the system alerts you 60 days before the auto-renewal triggers. You can opt out in time if the relationship has changed.
Signature Tracking
Sent a contract for signature? The system tracks it.
Sent and viewed: the client opened it. Sent but not viewed after 48 hours: send a follow-up reminder. Signed: log the completion and trigger onboarding or fulfillment.
Integration with e-signature tools (DocuSign, HelloSign) makes this tracking automatic. No manual status updates needed.
Obligation Monitoring
Contracts contain obligations on both sides. Monthly reporting requirements. Minimum service levels. Payment terms.
The system tracks these obligations and alerts when they are approaching. "Monthly report for Client X is due in 3 days." "Quarterly review meeting with Client Y is overdue."
Compliance and Audit
Every action is logged. Who created the contract, who edited it, when it was sent, when it was signed. This audit trail satisfies compliance requirements without additional effort.
AI can analyze your contract portfolio for risks: concentration of revenue in clients with short-term contracts, auto-renewal clauses that might trap you, and terms that conflict across contracts.
Getting Started
Import your existing contracts. Tag them with basic metadata. Set up renewal alerts for the next 90 days. That alone prevents missed renewals.
Then build out creation templates, signature tracking, and obligation monitoring. Each layer reduces contract-related risk and saves administrative time.
