Building Automated Expense Reports
Jay Banlasan
The AI Systems Guy
tl;dr
Expense reports that compile receipts, categorize spending, and format for approval automatically.
Nobody enjoys expense reports. Nobody. This automated expense reports guide makes them happen without the suffering. Receipts come in, categories get assigned, and the report formats itself.
The system does the tedious part. You just approve it.
Receipt Collection
Forward receipts to a dedicated email address or drop them in a shared folder. A script watches the inbox or folder and processes new receipts as they arrive.
AI reads each receipt and extracts: vendor name, date, amount, and a best guess at the category. Most receipts follow predictable formats. AI handles them correctly 90%+ of the time.
The 10% that are ambiguous get flagged for manual review. Better than reviewing 100% manually.
Categorization Logic
Define your expense categories up front. Software subscriptions, travel, meals, contractor payments, advertising spend, office supplies. Map common vendors to categories automatically. "Uber" always maps to travel. "AWS" always maps to software.
For new vendors, AI reads the receipt context and assigns a category. It learns from your corrections. Override a categorization once and it remembers for next time.
The Report Format
Weekly or monthly, depending on your needs. The report groups expenses by category, totals each group, and compares to budget or previous periods.
AI adds a summary paragraph. "Total spend this month: $4,230. Software subscriptions up 12% due to new analytics tool. Travel was $800 below budget."
Format it as a PDF or Google Doc. Something that looks clean enough to share with an accountant or business partner.
Tax Time Benefits
When every expense is categorized and dated from day one, tax preparation is trivial. Your accountant gets clean data instead of a shoebox of receipts.
The automated system also flags potential deductions you might miss. "This $1,200 conference registration may be deductible as professional development."
Fifteen minutes of setup saves hours of work every month and days of work at tax time. That is the kind of automation worth building first.
