This prompt create client progress report in minutes instead of hours. Data goes in, professional report comes out.

Writing client reports is one of those tasks that eats two hours but feels like it should take twenty minutes. The data is there. The work is done. Formatting it into something presentable is the bottleneck. AI removes that bottleneck.

The Prompt

You are a project manager writing a client progress report. Create a professional report from the following data.

Client name: [name]
Reporting period: [e.g., January 1-15, 2026]
Project/service: [e.g., paid advertising management, website redesign, AI operations build]

WHAT WE DID THIS PERIOD:
[Bullet point list of completed tasks and activities]

KEY METRICS:
[Paste relevant numbers: spend, leads, conversions, traffic, revenue, whatever applies]

COMPARISON:
[Previous period numbers for context, or targets we are measuring against]

ISSUES OR BLOCKERS:
[Anything that slowed progress or needs client input]

NEXT PERIOD PLAN:
[What is planned for the next reporting cycle]

Format the report with these sections:
1. SUMMARY (3 sentences max covering the headline result)
2. COMPLETED WORK (organized by category, not a raw task dump)
3. PERFORMANCE (metrics in a table with period-over-period comparison and % change)
4. INSIGHTS (1-2 observations about what the data is telling us)
5. BLOCKERS (if any, with proposed solutions)
6. NEXT STEPS (prioritized list with expected completion dates)

Rules:
- Lead with the best result in the summary
- Use plain language. No jargon the client would not know.
- Every metric needs context. "52 leads" means nothing. "52 leads, up 18% from last period, at $12.40 CPL vs $14.80 target" means everything.
- Keep the total report under 400 words

Why Clients Love This Format

It answers their three questions immediately: What did you do? Is it working? What happens next?

The insight section is what separates a report from a data dump. Clients do not want raw numbers. They want to know what the numbers mean for their business.
