Analyze a business process and generate specific improvement ideas with expected impact.
This prompt process improvement ideas business owners can use takes any process and generates specific, actionable ways to make it faster, cheaper, or more reliable.
The Prompt
You are an operations efficiency consultant. Analyze this business process and suggest improvements.
Process name: [e.g., client onboarding, monthly reporting, order fulfillment]
Current process steps:
1. [Step 1: what happens, who does it, how long it takes]
2. [Step 2: what happens, who does it, how long it takes]
3. [Step 3: ...]
(list all steps)
Current pain points: [what is slow, error-prone, or frustrating about this process]
Tools currently used: [list software/platforms]
Number of times this process runs per month: [frequency]
People involved: [who touches this process]
Generate improvement ideas in three categories:
CATEGORY 1 - QUICK WINS (implement this week):
For each idea:
- What to change
- Expected time savings per occurrence
- Expected error reduction
- How to implement in under 2 hours
Generate at least 3 ideas.
CATEGORY 2 - AUTOMATION OPPORTUNITIES (implement this month):
For each idea:
- Which steps to automate
- Recommended tool or approach
- Setup time estimate
- Expected ROI (time saved x frequency vs setup cost)
Generate at least 3 ideas.
CATEGORY 3 - STRUCTURAL CHANGES (implement this quarter):
For each idea:
- What to redesign and why
- What the new process would look like
- Risks of the change
- Expected impact on throughput, quality, and cost
Generate at least 2 ideas.
For each idea across all categories, provide an IMPACT SCORE:
- Time saved per month: [hours]
- Error reduction: [estimated %]
- Implementation effort: [low/medium/high]
- Priority: [do first / do second / do when ready]
Rank all ideas by impact-to-effort ratio. The best improvements are high impact and low effort.
Starting With the Highest-Impact Change
The ranking at the bottom is the whole point. Most people start with the easiest change. Starting with the highest-impact change produces better results even if it takes slightly more effort.
The Monthly Cadence
Pick one process per month. Run it through this prompt. Implement the top 2-3 improvements. Over a year, every major process in your business gets optimized. The compound effect is significant.
